How to Write a Cover Letter in 2026 (With a One-Page Structure)

Start with the job, not your life story

Name the role and the company in sentence one. Add one fact that shows you read them: a product launch, a clinic type, a market they entered. Generic “I am writing to express interest” wastes the only paragraph many people read.

If you cannot name a fact, you are not ready to write the letter. Spend ten minutes on the company site or the posting instead of padding adjectives.

Proof beats adjectives

Pick two results that match the posting. Use the same formula as resume bullets: verb, scope, number. “Cut onboarding time 30% for 40 new hires” is a letter. “I am a passionate collaborator” is not.

Do not paste your entire resume. The letter’s job is to choose. If the resume already lists six jobs, the letter highlights the two that matter here.

Address career changes and gaps in one sentence

If you are switching fields, say the transfer in plain English: “Four years in restaurant ops taught me peak-hour staffing; I want to apply that to clinic front desk.” Then stop. A letter is not a memoir.

Gaps: one honest clause is enough. “I left work in 2024 to care for a family member and I am applying for full-time roles now.” Do not over-explain.

Formatting that survives ATS and email

Use a single column, a readable serif or sans, and your contact line matching the resume. No headers as images. If you upload through an ATS, the letter should parse as text.
